Google Workspace users getting improved file access expiration functionality in Drive: Here’s why it matters – Times of India

Google offers its productivity and collaboration tools to both free as well as paid subscribers via Google Workspace. However, Google Workspace users get some more features and capabilities – such as the recently-announced increased 1TB storage for Wokrspace Individual accounts – that free users do not. The company has just rolled one enhancement of a feature in Google Drive. Google Workspace account holders will now be able to add an expiration date for editors when sharing a file.
Google Workspace: What’s changing in Drive
Google Workspace account holders will now be able to set expiring access when sharing files in My Drive, “as opposed to after a person already has access to the file.” Additionally, users can add expiring access for editors. The update essentially improves the existing expiring access capabilities.
Access expiration date release schedule
The ability to set expiration dates is coming to the web first and it will be available on Android by November-end. The gradual rollout has already begun and it should complete within 15 days.

It is not available for Google Workspace Essentials, Business Starter, Education Fundamentals, the Teaching and Learning Upgrade, Frontline, as well as legacy G Suite Basic and Business customers, and users with personal Google Accounts.
Why setting access expiration date matters
With this update, a user can control for how much time a given collaborator has access to a specific file. “This is especially useful in cases where a file creator or editor knows their collaboration with another person is time-bound,” Google explained, adding that this will save one’s time of cleaning up a file’s access control list after collaboration has ended.
How to add access expiration date for editor

  • Adding expiration date for editor involves a few steps. For example, open the Google Sheets file that you want to share and set access expiration date to.
  • Tap “Share” on the top right corner and add people’s or group’s name in the text box.
  • Once added, choose the drop down menu just beside the text box and click on “Add expiration”.
  • Click on the newly-revealed Edit option, and choose a date from the date picker.
  • Click “Done” and then “Send”.
